Question for the ladies, how do you stay organized?

Just wanted to get some insight from the ladies. I generally prebook my sessions with providers, and it got me thinking about how the ladies keep organized? Admin work is tedious, stressful and requires a lot of juggling of session times, requests and last minute cancellations.

How do you manage all of this? Do you use a booking system (Fresha, Square, etc), an assistant or good old fashioned pen and paper? I truly admire this, as I think most of us forget what the providers go through in booking sessions.

I just use my phone calendar. And I have it in a big widget on my screen. Things go in my calendar in a very non descript way so if something shows up on my screen in front of people, it’s no big deal. It might say something like J-2 hrs n, j-90 m, m etc.

Without my calendar, I triple book my life away haha.

I’m pretty thankful I have corporate world experience where I have been an office assistant and office administrator so I already had experience with admin duties going into this. I do my admin work pretty much how I did in offices, but instead of using a computer database for my clients I just use my contact list in my phone, but I set up what I enter in my contacts the same as a database.

I use my phone calender to book appointments, and again I set this up similar to a computer database. It feels very familiar for and natural because of past corporate jobs I have done. Answering messages, again is quite similar, I just add a bit more of a flirty tone. The admin work for this is probably the most time consuming and it can be overwhelming at times too. Having in my phone notes answers to commonly asked questions for me to copy and paste helps too.

I do know of some providers who hire assistants to do the admin work, because as I said it’s a lot, and especially if someone has school and other responsibilities it can be really overwhelming and you could miss out on messages. Not everyone can afford an assistant and many of us do the admin work because we want to make it more personal for people to talk to us and not an assistant.

I do want to add for anyone reading this who sees providers to please keep in mind our time when contacting us, looking at ads and our websites to give us the information we require upon contact, as well as reading about our rates, services etc, so you can make the booking process as smooth as possible for you and for us. It make the admin work less overwhelming and that is a good start to a future date.

I have separate phones for work and personal, and I manage a shared incall space so I use 3 separate calendars. It used to be a bit bonkers before I figured out how to get those calendars to automatically communicate/update, and now things run much more smoothly.

My biggest challenge is finding enough down time to delete old emails and clean up my camera roll. 🤣 I have way too many pics of my butt.

Ugh, I have always hated excel. I do not use it for this. I find how phones are now, even with contact lists in phones they have a lot of different fields to add information similar to a database, good enough for me. I just need to make sure I put information in right away, or I may forget.

Really? I love it for my business. For me it's so easy to have income/expense projections for the entire year. Of course my clients are all set for each day, week, month so it would be easier for me to track.

Yes excel is great for businesses, and I think it’d been now at least 30 years it’s been widely used. I just never liked it, and dealing with numbers and spreadsheets I find boring, redundant and just something I don’t enjoy. For many businesses yes it’s very valuable and even necessary.

But anyways back on track with the original question I think we all have varying ways we keep organized. I personally need to keep very organized and have my own methods of doing so. Plus it’s easier to do income tax when I keep organized all year.
